Decision Brief

Turn scattered notes into a decision someone can approve.

Compare credible options, expose missing information and separate a proposed path from an approved decision.

Copy into ChatGPT or Claude, or install the ZIP in Claude. No coding required.

What you supply

Your material, in plain language.

A decision to make, relevant notes or proposals, and an owner or deadline if known.

Pasted notes or uploaded documents work. No live system connection is required.

What you get

A structured result for review.

A one-page brief with options, costs, conditions, next steps and an evidence register.

Facts stay linked to sources. Missing dates, owners and evidence remain visible.

fictional worked example

Should the office trial external reporting preparation?

A four-week trial is a different decision from an annual contract. The brief checks both costs, treats the supplier's time-saving claim as unverified, and surfaces the missing confidentiality terms.

Illustrative output, not a customer result. Your result will depend on the material and AI model you use.

# Fictional example: reporting preparation trial

Prepare a decision brief for our COO. Should we test external reporting preparation for four weeks? The COO can approve a trial, but recurring contracts require principal approval. Decision deadline: 5 October 2026.

S1 — Operations note, 28 September 2026: Two analysts each spend three hours on the weekly pack. We prepare 52 packs a year. Most time is spent reconciling spreadsheet versions. Neither role will be removed if preparation gets faster. The COO reviews the pack before distribution.

S2 — Supplier email, 29 September 2026: Our service costs AUD 1,000 a month with an AUD 2,000 setup fee. We estimate preparation time will fall by 50%. A four-week trial costs AUD 1,000 with no setup fee, no automatic renewal, and read-only exports. Deletion and confidentiality terms are available on request. This offer excludes live system connections.

S3 — Analyst note, 29 September 2026: We could standardise the input workbook internally. We think this would take two days, but have not tested the approach or estimated ongoing maintenance.

Decision brief: a four-week reporting preparation trial

Decision owner: COO for trial; principal for recurring contract [S1, task] | Needed by: 5 October 2026 [task]

Decision in one sentence

Should the COO approve a bounded trial of external reporting preparation, conditional on acceptable confidentiality and deletion terms?

What we know

  • Current preparation uses six analyst-hours per pack: 2 × 3. At 52 packs a year, that is 312 analyst-hours annually [S1].
  • The supplier offers a four-week, AUD 1,000 trial with no setup charge or automatic renewal; it uses read-only exports [S2].
  • A recurring year would cost AUD 12,000 plus AUD 2,000 setup, or AUD 14,000 before internal effort. This is a separate commitment [S2; calculation assumes 12 billed months].
  • No roles would be removed, so any time released is capacity rather than a cash saving [S1].

Continue current processKnown process; COO review remains [S1]Six analyst-hours per weekly packSpreadsheet reconciliation remainsYes
Standardise internallyTargets spreadsheet versions [S1, S3]Two days estimated by analyst; maintenance unknownBenefit untestedLikely, subject to preserving originals
Four-week supplier trialTests a claimed 50% preparation reduction [S2]AUD 1,000 plus unestimated internal effortConfidentiality/deletion terms not reviewed; claim unverifiedNo automatic renewal [S2]; deletion terms pending

Proposed path and conditions

Seek the supplier’s confidentiality and deletion terms before approving the trial. If acceptable to the office’s authorised reviewer, the trial can test the time claim without committing to a recurring contract. The claimed 50% reduction would release three hours per pack, or 156 hours annually if sustained across 52 packs; this is a scenario, not an observed result [S1, S2].

Before approval

QuestionWhy it changes the decisionWho verifies itStatus
What data can leave the office and when is it deleted?Determines whether trial exports are permissibleOffice’s authorised data reviewer, proposed roleTerms pending [S2]
Does the pack remain accurate and take less total time, including review?Tests value rather than supplier claimsCOO and analysts [S1]Measure during trial

Next action

COO requests the missing terms. If approved, run four weekly packs with read-only exports, track total preparation/review time and reconciliation exceptions against the current baseline, and retain COO approval before distribution. Any recurring contract returns to the principal for a separate decision [task].

Evidence register

S1: Operations note, 28 September 2026, supplied paragraph; establishes workload and review. S2: Supplier email, 29 September 2026, supplied paragraph; establishes quoted terms and an unverified benefit claim. ChatGPT or Claude: try it in one conversation
  1. Choose Copy workflow above. If copying is unavailable, download the prompt text and copy its contents.
  2. Paste it into a new conversation. No ZIP installation is needed for this route.
  3. Add your task and notes, or copy the fictional sample input to test it.
Claude: install once, use again
  1. Choose Download for Claude. Leave the file zipped.
  2. In Claude, open Customize → Skills. Choose + → + Create skill → Upload a skill, then upload the ZIP.
  3. Enable the skill. Start a new conversation with the request below and add your material.

Claude requires Code execution and file creation to be enabled. Individual accounts can find this in Settings → Capabilities; team settings may be controlled by an admin. If upload is unavailable, use the copy-and-paste route or ask your admin.

ChatGPT: save it in a Project
  1. Create a Project for this workflow.
  2. Open its menu, choose Project settings, and paste the workflow into the project instructions. Keep any existing instructions compatible.
  3. Start a chat inside that Project with your task and permitted material.

This saves reusable instructions in a Project; it does not install the Claude ZIP as a native ChatGPT skill.
